Job Summary

YAF seeks a highly organized, detail-oriented, and experienced Event Coordinator to lead the planning, coordination, and execution of high-impact events at the Reagan Ranch and Reagan Ranch Center. This individual will be responsible for managing event logistics and execution, ensuring each experience advances YAF’s mission and inspires guests—including YAF students, supporters, and allies.

The ideal candidate will thrive in a fast-paced environment, manage multiple priorities effectively, and collaborate cross-functionally with internal departments. The Event Coordinator plays a critical role in ensuring that YAF events related to the Reagan Ranch reflect the excellence and professionalism of Young America’s Foundation.

Responsibilities

Primary Duties

  • Serve as on-site manager for events at the Reagan Ranch Center and the Reagan Ranch
  • Develop comprehensive event timelines and clearly communicate responsibilities and deadlines to staff and vendors
  • Maintain and expand relationships with trusted vendors and service providers
  • Secure vendors for each event and ensure contracts are reviewed and approved by YAF leadership
  • Coordinate with catering teams at each event, select menus, and advise caterer of guest allergies and special needs
  • Communicate donor event opportunities to YAF’s development team and keep team members apprised of event details and attendees
  • Work with the program team to execute excellent student seminars and conferences
  • Collaborate with graphic designers to create cohesive event branding, including invitations, signage, registration materials, and digital assets
  • Partner with YAF’s communications team to market events effectively
  • Manage online registration systems, provide guest assistance, and act as a welcoming point of contact
  • Ensure all guest information is properly recorded in YAF’s database for future follow-up
  • Prepare registration materials, including nametags, seating charts, signage, and check-in desks
  • Oversee inventory and maintenance of YAF-owned event assets and materials
  • Work with outside group event coordinators to host meaningful events
  • Provide written reports on YAF events for internal and external purposes
  • Host Reagan Ranch tours for students, private guests, and groups, as needed
  • Other duties as assigned

Requirements

Qualifications

  • Deep commitment to Young America’s Foundation’s mission and values.
  • Proven experience in event coordination or project management (preference given to candidates with prior YAF involvement).
  • Outstanding attention to detail and ability to anticipate problems and deliver timely solutions.
  • Strong organizational and time-management skills
  • Excellent interpersonal, public speaking, and written communication skills.
  • Proficiency with Microsoft Office Suite
  • Graphic design experience is a plus but not required
  • An eye for detail and design
  • Self-starter with a flexible and proactive approach to tasks and responsibilities
  • Willingness to travel and work evenings and weekends as needed
  • Commitment to continuous improvement and professional development
  • Total commitment to compliance with YAF policies and procedures as outlined in the YAF Staff Manual
